VAT on food products reduced to 6% — what you need to do in CloudOffice®

New VAT rate from April 1, 2026

Starting April 1, 2026, the VAT rate on food products in Sweden will be reduced from 12% to 6%. The change is temporary and applies until January 1, 2027, when the rate is expected to return to 12%.

The reduction affects all businesses that buy or sell food products. If you do not update the VAT rate in your business system before April 1, you risk incorrect invoices, inaccurate bookkeeping, and issues with VAT reporting.


What needs to be updated?

The transition affects several parts of your system. The VAT rate needs to be changed in the product catalog for all food items, in open customer orders with remaining balances, in shipments and receipts that have not yet been invoiced, in open supplier orders, and in active contract invoices.

It may sound like a lot — but we have made it simple.


Automated tool in CloudOffice®

We have developed a dedicated feature to help you complete the entire transition. The tool works in two steps.

In the first step, you select which types of objects should be updated — products, customer orders, supplier orders, shipments, receipts, or contract invoices. You can filter by current VAT rate and specify a date range. The tool then populates a list of all affected objects for you to review before proceeding.

In the second step, you click Execute. The tool changes the VAT rate from 12% to 6% across all selected objects, automatically recalculates document totals, and records the changes with the correct accounting period. After the process completes, you receive a summary of all modified objects.
